Please contact your Ideagen Maritime Health representative for deployment assistance and configuration requirements.
1. (SC-15836) Mazlan AI Conversational Encounter Documentation Agent (paid feature)
Maritime Health Onboard introduces its first Mazlan AI-powered feature: the Conversational Encounter Documentation Agent. This is a paid feature; contact your Ideagen Maritime Health customer success representative for information on availability, pricing, deployment requirements, or to schedule a demo.
Clinicians can document patient encounters by voice or text in a guided conversation from the patient chart, rather than navigating to each section manually. The agent validates what the clinician says against existing Maritime Health business rules, maps it to the structured fields of the medical record, and writes nothing to the record until the clinician explicitly approves a summary. This feature is available in Maritime Health Onboard only.
Launching the agent and permission
A floating Mazlan AI chat icon is displayed in the bottom-right corner of the patient chart, to the left of the Quick Actions button. A new Mazlan AI permission set, containing the permission Enable Mazlan AI Chat on Patient Chart, has been added under Operations > Admin > Users and Groups > Permissions tab. Only users with this permission see the icon. The agent can be launched with or without an open encounter, and follows the existing rules for which sections can be updated inside and outside an active encounter.
How the conversation works
- The clinician can speak or type, and the agent asks clarifying questions when information is incomplete or ambiguous.
- Inputs are validated using the same validation logic as the Onboard screens. The agent refuses inputs that fail validation and explains why. No new business rules or regulatory validation are introduced.
- The agent presents a structured summary of everything captured. The clinician can revise any item by voice or text, and the agent re-summarizes before asking for approval.
- Only after explicit approval is the data written to the patient chart. If the clinician does not approve, no data is changed.
- The conversation transcript is not saved to the patient record. Only the structured data written to the chart is stored.
Supported actions
The agent supports 29 actions in Maritime Health Onboard > Patient Chart.
Available without an active encounter (14): Edit Demographics, Edit Crew ID, Log Interaction, Alerts, Allergies, Past Medical History, Social History, Drug History, Add Vaccination History, Enroll Patient in Wellness Program, Add an Addendum, Update Admin > General Tab (Next Due Review, Vaccination Review Date, Death Declaration Date and Time, Isolation, Quarantine, Unfit for Duty), Schedule an Appointment and Record a Clinical Test.
Requires an active encounter (15): Update Patient Workflow Status, Triage, Vitals, History of Present Illness, Review of Systems, Examination, Create Orders, Create Prescriptions, Create Oxygen Therapy, Assessment, Diagnosis, Notes, Create Referral, Complete Disposition and Create Custom Instructions.
Deleting, cancelling and discontinuing entries
The agent can also delete, remove, cancel or discontinue existing entries. It identifies the exact entry (asking clarifying questions if several match), presents a confirmation summary and requires explicit approval. The information collected depends on the entry type:
- Confirmation only - Notes and Addendums
- Reason required - Vitals (the agent first asks which individual vital in the set to delete), Orders, Clinical Tests (labelled Remove in the UI), Prescriptions (medications and infusions) and Oxygen Therapy
- Reason, date and time required - Alerts and Drug History entries
- Cancel - Referrals. A cancellation date and time are required and a reason is optional. If the clinician says "delete", the agent confirms that they intend to cancel
- Discontinue - Drug History medications, Prescription medications and Prescription infusions. A discontinuation date and time and a reason are required. The agent first clarifies whether the clinician intends to delete or discontinue
If an action is not permitted by an existing Maritime Health business rule, the agent explains why and returns the clinician to the chat without changing any data.
Audit trail attribution
Changes made through the agent display the label Updated using Mazlan AI in the Details column of the corresponding entry in Onboard > Patient Chart > Audit Trail > Medical Audit tab. The label is added alongside existing details and only on successful, approved actions. Entries made manually do not display it.
Connectivity
The agent requires an internet connection with a recommended available bandwidth of 5Mbps. When a connection cannot be established it is unavailable and a user-friendly message is displayed to the clinician. All other Maritime Health Onboard functionality remains fully available, and the agent restores automatically once connectivity and a valid Mazlan access token are re-established.
2. (SC-15840) PEME / SMFC module enhancements
This release introduces a series of enhancements to the Health Information Exchange across Maritime Health Operations, Maritime Health Onboard, the Provider Portal and the Crew Health App. They reduce manual effort in the PEME/SMFC workflow, prevent duplicate document submissions, give more control over Trusted Provider auto-acceptance, add an optional grace period for accepted documents, and improve the Wellness Program enrolment experience. All new configurations are migrated with values that preserve existing behavior, so no change occurs until an administrator configures them.
Module rename
On the Select Module page of Maritime Health Operations, the Employment Medical Exams module is renamed Health Information Exchange. The module subheading now reads For Health Document Reviewers, and remaining references to Employment Medical Exams within Maritime Health have been updated. Maritime Health Onboard already used the name Health Information Exchange.
Automatic workflow check in and check out
The Time Limit For Patients In SMFC/PEME Dashboard configuration (Operations > Admin > Configurations > Settings tab) has been renamed Time Limits For Patients In SMFC/PEME Dashboard, and its condition DAY FOR CHECK OUT is now DAYS ELAPSED FOR AUTOMATIC CHECK OUT. A new condition, DAYS BEFORE PEME EXPIRATION FOR AUTOMATIC CHECK IN, automatically returns crew members to the PEME/SMFC workflow (Health Information Exchange > PEME/SMFC) as their PEME expiration approaches.
- The new condition accepts a whole number of 0 or greater. A value of 0 checks the crew member in on the day their PEME expires. A blank value means no automatic check in occurs.
- Crew members flagged as Terminated are never automatically checked in.
- Automatic check out begins once a crew member has received at least one document and has no documents in Pending Review or Shared status. If any document returns to either status, the timer resets.
- If the check-in date falls before the check-out date for the same crew member, the check in takes precedence and automatic check out does not occur.
- Automatic check in and check out run as a server task once daily during off-hours, based on the server's time zone.
- The new condition is set to blank for all clients on release, preserving current behavior until enabled. Crew members can still be checked in manually using Add to Health Information Exchange from the expand menu on any patient table.
Duplicate document submission prevention
A new configuration, Prevent Duplicate Document Submission Across Provider Portal and Crew Health Apps (Operations > Admin > Configurations > Settings tab), stops a second document of the same type being submitted while one is pending review in the Health Information Exchange. The configuration has a required Document Type(s) multi-select, and at least one type must be selected before it can be enabled.
- In the Provider Portal and Crew Health App, selecting a restricted document type in the Submit Document dialog displays a warning: A document of type <selected type> was previously submitted and is pending review. A second document cannot be submitted at this time. The Submit button remains disabled until a different document type is selected.
- Submissions made through the API are rejected with a meaningful error message when a document of the same type is pending review.
- Only documents in pending review status are considered. Documents that are accepted, rejected or in another terminal status do not block a new submission.
- The configuration is unchecked for all clients on release, preserving current behavior until enabled.
Trusted Provider document type filter
On the provider configuration page (Operations > Admin > Third Parties > (connected provider) > Edit > Settings), the Trusted Provider checkbox is renamed Trusted Provider (Auto-Accept Documents) and is now accompanied by a Document Types multi-select. Auto-acceptance applies only to documents whose type is selected. All other documents from the provider require manual review in Health Information Exchange.
- The dropdown is disabled until the checkbox is checked, and offers Select All and Select None shortcuts.
- At least one document type must be selected when the accompanying checkbox is selected.
- For existing providers with Trusted Provider enabled, all document types are selected on release so that current auto-acceptance behavior is unchanged.
Grace period for document acceptance
A new Grace Period for Document Acceptance checkbox and Days field have been added to the provider configuration page (Operations > Admin > Third Parties > (connected provider) > Edit > Settings). The Days field accepts whole numbers from 1 to 5 and defaults to 2. Both controls are disabled unless Trusted Provider (Auto-Accept Documents) is checked, and the Days field is enabled only when the grace period checkbox is checked.
- During the grace period, an accepted document (whether auto-accepted or manually accepted) shows the status Accepted with a clock icon in Health Information Exchange > Documents. In the Provider Portal the status shows as Submitted. Hovering over the clock icon in HIE displays the date on which the grace period expires.
- An administrator can still reject the document from the Document Preview window during the grace period. The status updates immediately to Rejected in both Maritime Health and the Provider Portal. A document already in the grace period cannot be accepted again.
- When the grace period expires without rejection, the status becomes Accepted and displays without the clock icon. Expiry is evaluated by a server task that runs once daily during off-hours.
- If a document in the grace period is split, both resulting documents are treated as fully accepted. If a rejected document is later accepted, the grace period is not re-applied.
- When grace period is checked, a Days value must be entered between 1-5 (or blank).
- The grace period is unchecked for all existing providers on release, preserving current behavior until enabled.
Wellness Program Enrollment dialog enhancements
The Wellness Program Enrollment dialog (Onboard > Health Information Exchange > PEME/SMFC tab > patient dropdown menu > Enroll) has been improved:
- A patient demographics subtitle (Full Name, Crew/Guest ID, Crew or Guest, DOB, Age, Gender and Country) is shown below the dialog title, followed by a Chronic Illnesses count. The count is red when chronic illnesses are present and green when the count is zero.
- When the count is greater than zero, selecting it opens the existing Chronic Illness Details modal.
- The search bar now searches both Program Names and Chronic Illnesses.
- For programs in which the patient is already enrolled, the Enroll Date is shown as read-only text and the Remove button is hidden.
- A new Enrolled / Not Enrolled filter has been added next to the search bar, with Select All and Select None shortcuts. No filter is applied by default.
Suggested Wellness Programs on document acceptance
When a reviewer accepts a document from the Document Details page in Health Information Exchange and the document identifies chronic conditions that have active Wellness Programs configured, a Suggested Wellness Programs dialog is displayed. Each suggested program has an Enroll Date picker pre-populated with the current date. Programs can be removed from the list before pressing Save, which enrolls the patient in the remaining programs not already enrolled and confirms with a popup dialog. Pressing Cancel enrolls the patient in nothing. The document remains accepted in either case. The dialog is not displayed if the document is rejected, if no chronic conditions or active programs apply, or if the patient is already enrolled in all applicable programs.
Provider Portal document received notifications
Two new System notifications are available in Operations > Admin > Notifications. They mirror the existing Crew Portal notifications and alert subscribers when documents are submitted from the Maritime Health Provider app:
- Provider Documents Received - documents of all types except SMFC/PEME
- Provider PEME/SMFC Documents Received - SMFC/PEME documents
3. (SC-15930) Global search optimization
The global search in Maritime Health Onboard and Maritime Health Operations has been redesigned to be faster and to return fewer, more relevant results. Previously the global search was a single free-text field that searched across all indexed patient fields at once. Users can now choose individual fields to search. The original single Search patient... field also remains available.
Global search filter panel
Clicking the global search bar now opens a filter panel in which one or more search fields can be populated before searching. The panel automatically places focus in the Crew/Guest ID field when it opens.
- Onboard - First Name, Middle Name, Last Name, Date of Birth, Crew/Guest, To Be Reviewed/Overdue Review, Crew/Guest ID, Booking Reference Number, Department, Position, Gender, Passport Number, Subtype and Terminated.
- Operations - First Name, Middle Name, Last Name, Date of Birth, Crew/Guest, Vessel(s), Crew/Guest ID, Booking Reference Number, Department, Position, Gender, Passport Number, Subtype and Terminated.
Search behavior
- The search runs only when the user presses Enter or Return. Results are not loaded in real time as the user types.
- Each populated free-text field is matched on a starts with basis, and all populated fields must match (AND logic). Empty fields are ignored.
- In Onboard, results load on Dashboard Module > Manifest Tab > Onboard View. In Operations, results load on the Global Search Results page. Both match the current behavior.
- Values entered in the global search panel carry over and pre-populate the results page filter bar. After landing on the results, click Apply Filters to run a refined search following any change to the filter bar values.
Results page filter bar changes
In order to match the redesigned global search filter, the single combined name fields on the Manifest Tab filter bar (Onboard) and on the Global Search Results page filter bar (Operations) have been split into three separate fields: First Name, Middle Name and Last Name.
To better support the minimum screen width of 1440px, Middle Name and Date of Birth have moved from the filter bar into the Additional Filters menu. Crew/Guest ID has moved out of Additional Filters to become the first filter on the filter bar, and is also listed first in the global search filter panel. This applies to both Onboard and Operations.
Single search field behavior preserved
The original Search patient... field remains available alongside the new filter panel in Onboard and Operations. The two are mutually exclusive:
- Focusing Search patient... clears any populated individual fields from the filter panel. Focusing a filter panel field clears an unsubmitted Search patient... value.
- Results from a Search patient... search do not populate, and clear, the results page filter bar and the Additional Filters menu.
- Pressing Escape, or clicking outside the field, closes the panel and clears all fields without running a search.
Scheduled view
When the Scheduled/Onboard dropdown on the Manifest Tab is set to Scheduled, the filter bar displays First Name, Middle Name, Last Name, Date of Birth, Crew or Guest, and To Be Reviewed or Reviewed. The Scheduled/Onboard dropdown and Additional Filters buttons are reordered to match the Onboard view. When a global search is performed, the toggle is automatically set to Onboard and the search is always performed against Onboard patients.
4. (SC-3021) Audit trails for patient chart views and user logins
Maritime Health previously audited edits to patient charts and user records, but not read-only views or login events. Two new audit trails close that gap to support regulatory oversight of access to patient health information and system usage.
Patient chart views audit trail
In Maritime Health Operations, a tabbed toggle with the options Edits and Views has been added to the left of the filter bar on Patient Chart > Audit Trail > Medical Audit tab. Edits displays the existing Medical Audit content unchanged. Views displays a new log of every time a patient chart is accessed by any user. This audit trail is not available in Maritime Health Onboard.
- Columns - DATE (the time the user first entered the area), USER (Last Name, First Name Middle Name Suffix), USERNAME and PAGE.
- PAGE values are Chart, Case Summary or Encounter Summary. One entry is logged when a user first enters one of these areas of the patient chart. Navigating between sub-pages in the same area does not create further entries, and moving to a different area creates a new entry.
- All records are displayed when the page first loads. A start date and end date filter and a Search... field (which searches the USER and USERNAME columns together) are available.
- Actions > Request Audit Trail Report prompts for a file type, queues a report and notifies the user when it is ready to download. The report reflects the active filters.
Patient Case Download entries
In Maritime Health Onboard > Clinic > Patients Seen tab, using Download on a single patient case, or Mass Download on several selected cases, now adds Patient Case Download entries to the User Interactions Audit tab (Operations > Admin > Admin Log > User Interactions Audit). One entry set is logged for each patient chart downloaded, using the existing columns of that tab.
User logins audit trail
On Operations > Admin > Admin Log > User Audit tab, a new toggle with the options Edits and Logins has been added to the left of the filter bar. Edits is unchanged. Logins displays a log of every login and manual logout across Maritime Health Operations and Maritime Health Onboard. Automatic logouts are not recorded.
- Columns - DATE, USER, USERNAME, ACTION (User Logged In or User Logged Out), APPLICATION (Operations (shoreside) or Onboard) and VESSEL (the vessel logged into for Onboard, otherwise N/A).
- As with the existing User Audit tab, no results are displayed until filter options are selected and applied.
- Actions > Request Audit Trail Report works as described for the Views audit trail.
Audit report download limit
If the results on the Views or Logins audit trail exceed the audit download limit when a report is requested, the download is cancelled and a banner displays The requested download contains too many rows. Please narrow your search results and try again. The limit is controlled by the auditDownloadLimit system configuration, which defaults to 50,000 rows. It can be changed only by an Ideagen Support request and is not editable in the user interface.
5. (SC-14288) Unified Edit Conditions modal for configuration settings
Administrators previously had to move between two separate modals, Edit Vessels and Edit Conditions, to configure a setting, and could activate a setting without seeing which vessels or default condition values it would apply to. These are now combined into a single guided flow in Operations > Admin > Configurations > Settings.
Single Edit Conditions action
The Edit Vessels action has been removed from the Configuration table row dropdown. Instead, the remaining Edit Conditions action opens a unified modal containing a Vessels section and a Conditions section. Each section is shown, hidden or disabled according to the type of the configuration (Onboard or Operations) and the data available.
Guided activation
- Switching a configuration toggle from Off to On automatically opens the Edit Conditions modal, before activation, if the configuration has vessels or conditions to set.
- All mandatory fields in the modal must be completed before the configuration can be saved and activated.
- If the user cancels out of the modal without saving, the toggle remains Off.
- Configurations with no vessels and no conditions can still be activated directly with the toggle, without the modal opening.
- Switching a toggle from On to Off is unchanged.
Existing values preserved
All existing vessel and condition values are migrated to the unified modal on deployment. Clients do not need to re-enter their configuration data.
6. (SC-16161) Support for multiple device interfaces
Maritime Health previously supported a single imaging device (such as X-ray) per vessel, with all imaging orders for the vessel routed to one shared Modality Worklist (MWL) server. This release replaces that model with independent configurations for multiple device types per vessel, so that an X-ray machine and an ultrasound machine (for example) can operate side by side without seeing each other's orders.
Device type configuration per vessel
Each device type (for example X-ray or ultrasound) now has its own configuration, capturing the same fields previously used for the single X-ray integration, including its own distinct MWL server connection. Device type configurations are set independently for each vessel, so different vessels can have different combinations of configured device types.
Device-specific order routing
Imaging orders are routed to the MWL server of the correct device type. Orders for one device type are not visible to, or pulled by, the integration for another device type.
Order Type to Device Type mapping
A new configuration layer maps Order Types to Device Type configurations. Multiple Order Types can be mapped to a single device type configuration, rather than a strict one-to-one mapping.
Existing configurations
A data migration is included so that existing single-device (X-ray) configurations carry over to the new model. The solution is designed to accommodate additional device types in future (for example ECG) without a fundamental redesign.
Device type configuration and Order Type to Device Type mapping remain managed by Ideagen Support. There is no client-facing configuration screen in this release. Please contact Ideagen Maritime Health support to configure additional device types.
7. Fixes
| Reference | Description |
| 1450524 | Fixed an issue where scrolling through long subscriber lists in the Notifications module (Admin > Notifications) experienced jitter and jerky movement due to nested scroll viewport conflicts. Scrolling is now smooth and stable. |
