This article outlines the changes made to Maritime Safety in release 3.0.0, which is available to be scheduled for deployment on 22 June 2026.

1. (SE-10053) Scheduled transitions in workflows
Workflow transitions can now be configured to execute automatically after a specified period, removing the need for manual user action. Administrators can set scheduled transitions on any Workflow Object class (Risk Assessment, Event, Document, Hazard, and Work Permit), enabling use cases such as auto-advancing forgotten assignments and triggering periodic reviews (for example, a Risk Assessment that must be reviewed every two years). A daily system check evaluates all active timers and performs transitions when conditions are met.
1.1. Time-based transitions
A new Scheduled transition section has been added to the Transition Settings modal within the Workflow editor. To access this:
- Go to Operations.
- Select Administration.
- Choose Types, Fields & Workflows.
- Select the Workflows tab.
- Create or revise a workflow.
- Click the Ellipsis menu next to the Next Status item.
- Select Transition Settings.
Administrators can enable a scheduled transition and specify the time period after which the transition should automatically occur. When configured, a clock icon is displayed on the Next Status line item along with a hover tooltip to provide a clear visual indicator.
1.2. Automated daily check engine
A Daily Check process runs once per day during off-hours to evaluate and execute time-based transitions across all Workflow Object classes. The engine starts timers only when all configured Validations and Conditions are satisfied, and automatically transitions objects to the configured Next Status once the timer elapses (provided conditions are still met). Timers are reset if conditions become unsatisfied and are cancelled entirely if a user manually transitions the object to a new status. All automatic transitions are recorded in the audit log.
1.3. New data in workflow object tables
New data has been added to the workflow object listing tables under the Workflow module in both Operations and Onboard, for all five workflow object classes.
When a scheduled transition is active for a workflow object, a clock icon appears in the Status column. The colour of the clock indicates the amount of time remaining until the transition to the next status will occur: red for overdue, yellow for seven days or fewer remaining, and green for more than seven days remaining. When hovering over the clock icon, a popup tooltip displays the date that the scheduled transition will occur.
For each table, the Additional Filters menu from the menu bar now includes a filter for Next Status Due Range.
For each table, hovering over the status label in the STATUS column displays the date and time at which the status was last updated.
2. Operations Admin optimisations
This release introduces a comprehensive set of usability and efficiency improvements across the Maritime Safety Operations Admin module. Enhancements include the Types, Fields & Workflows admin, Users/Ranks/Profiles management, Vessels admin, and Notifications configuration, adding new search and filtering capabilities, inline editing, streamlined permission management, and improved workflow transparency. All admin changes are logged in the Administration History audit trail.
2.1. Types, fields and workflows
To access the Types tab:
- Go to Operations.
- Select Admin.
- Choose Types, Fields & Workflows.
- Select the Types tab.
The following enhancements are available:
- The type Code is now displayed as a grey label alongside the Class
- The search filter supports searching by Code
- A new Applicable Workflow column is now shown to the right of the Category column in the Types list, displaying the workflow currently assigned to each type
- A corresponding Workflow multi-select filter has been added to the filter bar for locating all types linked to a specific workflow
- A new Edit Access action (user icon) is available per type in the Types tab. It opens a modal for quickly toggling role assignments by Rank and Profile, with separate tabs for each. For Profiles, a Members panel allows adding or removing members directly. This action is only enabled for types with an assigned workflow and is restricted to users with the Manage Users, Ranks & Profiles permission
To access the Fields tab:
- Go to Operations.
- Select Admin.
- Choose Types, Fields & Workflows.
- Select the Fields tab.
The following enhancements are available:
- New filters have been added: Applicable Class (multi-select), Component (multi-select), and System/Custom button group
- Context-dependent filters (Applicable Types and Subtabs) now cascade based on the selected Applicable Class. Less-used filters are organised under an Additional Filters section with a visual indicator when active
- A new Include In Report Builder toggle has been added to the Field Wizard. When turned off, the field is hidden from the Report Builder but its data is preserved in the backend. Re-enabling the toggle restores historical data visibility. The toggle is on by default
To access the Workflows tab:
- Go to Operations.
- Select Admin.
- Choose Types, Fields & Workflows.
- Select the Workflows tab.
The Workflow Revisions modal now includes an UPDATED column showing the publish date and time and the publishing user's name (replacing the previous Author icon). The Workflow Wizard's ACTION field now displays placeholder text ("Enter an action name…") for clearer guidance.
2.2. Users, ranks and profiles
To access Users, Ranks & Profiles:
- Go to Operations.
- Select Admin.
- Choose Users, Ranks & Profiles.
The Ranks tab has been renamed to Managed Ranks.
Both the Managed Ranks and Profiles tabs now include new filters:
- Applications
- Assigned Ships
- Platforms
- Two-Factor Authentication (Yes/No)
- Global Roles
- Permissions/Roles Included
- Permissions/Roles Not Included
2.3. Permission changes
To access permissions for Managed Ranks:
- Go to Operations.
- Select Admin.
- Choose Users, Ranks & Profiles.
- Select Managed Ranks.
- Edit a Managed Rank.
- Select the Permissions tab.
To access permissions for Profiles:
- Go to Operations.
- Select Admin.
- Choose Users, Ranks & Profiles.
- Select Profiles.
- Edit a Profile.
- Select the Permission tab.
The Manage Objects permission has been renamed to Manage Types, Fields & Workflows. This permission controls access to the Types, Fields & Workflows section of the Admin. A migration will automatically apply this permission to any rank or profile that previously had the Manage Forms permission.
Important: After upgrading, users may need to manually add the Manage Types, Fields & Workflows permission to their profiles to regain access to this admin section.
2.4. Vessel details
To edit vessel details:
- Go to Operations.
- Select Admin.
- Choose Vessels, Departments & Ranks.
- Select the Vessels tab.
- Click Edit.
Users can now edit vessel details directly from the Vessel Details modal in the Vessels tab. Previously, these changes required backend support. Editable fields match those currently modifiable by support.
2.5. Custom fields in notifications
To insert custom fields:
- Go to Operations.
- Select Admin.
- Choose Notifications, Recipients & Distribution Lists.
- Select the Notifications tab.
- Edit a Notification.
- In the BODY panel menu bar, click the Insert Custom Field button.
The Notification Wizard's Insert Custom Field modal now includes a browse button (list icon) next to the search filter. Clicking it displays all available fields for the selected Class in a modal, allowing users to select and insert field variables directly into the notification subject or body.
3. Viewing Admin History for Risk Assessments
Audit trail functionality is added for Risk Assessments in Maritime Safety, bringing them in line with the existing audit capabilities for Events and Work Permits. Users can now view a complete, filterable edit history of all changes made to risk assessment records from the Risk Assessment detail page.
To access the audit trail:
- Go to Operations or Onboard.
- Select Workflow.
- Choose Risk Assessments.
- Open a risk assessment.
Access to the Risk Assessment audit trail is governed by the existing View Admin History permission, ensuring only authorised users can review change history.
4. Filtering Risk Assessments by assignee
An Assignee filter has been added to the Risk Assessments tab within the Workflow module, bringing it in line with the existing filtering capabilities on the Events and Work Permits tabs.
5. Understanding warnings when switching form drafts
When creating a new draft of a document in the Documents Library and switching from a PDF format draft to an HTML format draft, the system now displays a confirmation warning modal. This prevents users from inadvertently losing their existing PDF content, which cannot be automatically converted to HTML and would need to be recreated from scratch.
To start a revision:
- Go to Operations.
- Select Library.
- Choose the Documents tab.
- Click the Dropdown menu.
- Select Start Revision.
